I have WXP installed in my Laptop and I use Microsoft Outlook. I have many contacts in data base with phone numbers. I have a problem that when I do “Export” the contacts in “CSV” format (to import to Gmail), the phone numbers which originally start with “0” appear in CSV file without 0. For example, a contact has a mobile number “03214023900” saved in Microsoft Outlook but when I export it to CSV format, the mobile number appears “3214023900”. Please help how to export complete contact.

I have Office 365 on a desktop and am having trouble importing a Contacts list I exported a few days ago. Am using Outlook 2016 on Windows 7.

If I import the csv file, the contacts/address book are all blank. I looked at the csv file under Excel and it is blank until way down the sheet and then it contains some incomplete very old no longer wanted items. They look like they might have come from a deleted list some time ago.

I then emptied the deleted item folder and exported contacts again. The csv file viewed by Excel was blank. No sign of the old contacts.

What do I need to do to get contacts export/import to work?

Oddly enough, I have much the same set up on a laptop and it works just fine. In fact I used the laptop's csv file to import to the desktop and that worked. But when I exported the contacts to a csv file, Excel showed that file to be blank as above.

I will appreciate help in resolving this.

I have been having the same problem with Outlook 2013. Previously I had my email account set up as a POP3 account & my contacts were all showing in my address book. This has worked for a couple of years without any problems.

Last week my IP changed their email account system & I had to set up a new IMAP email account & while that worked for sending & receiving emails, I had lost the address book contacts, as it was all blank. I did find some contacts after I had imported them from Outlook's Address Book in Outlook Files. However, these were not in the address book, they were in Contacts that can be found by selecting People in Outlook & there you will find Contacts. This had about half of my contacts, which I actually think came from an old contact list I had.

The only way i have been able to get the address book to work & showing all my contacts is to revert to the old email POP3 system & change all the details there to suit my IP's latest account settings, as they do allow either POP3 or IMAP to be used. As I don't need my emails to be found & viewed on other media, I have no need for an IMAP account.

Are you using a POP3 or an IMAP account system?. Is your PC email system the same as your laptop one. As I mentioned above you could check People when in Outlook & see what are found in your Contacts.

When I export my outlook contacts to a csv file i get the name and GPO address but not the e-mail addresses.
I want the e-mail addresses to export to G mail.
The contacts contain my e-mail addresses as I use it to find the e-mail addresses

I exported fine. The E-Mail showed up much further in the file. If you are using Excel, it was near Column BH.

And you did do a CSV file, not a Text Delimited File, which ends up being a TXT file?

Good morning,

I am faxing out using the Microsoft Fax program (Win XP Prof) and my outlook 2003 address book. I have always used this and have setup up to 4000 faxes going out with no problems at all. The last little while I am only getting one of two sometime 5 contacts showing when I complete my fax setup. Cannot figure out why since I have not changed anything in my setups.

Hi - I managed somehow to get my contacts (address book) moved from my old computer (Outlook Express) and they now appear under "contacts" in windows on this new computer.

Hi, I have been charged with the task of figuring out how to make microsoft outlook contacts automatically update between a series of computers on my network. I've read various articles, and none seem to be what my employers are looking for. Some of the methods include buying/downloading a program to do it, using outlook to forward the contacts to everyone, etc. etc. That's not what they are looking for, though. One of the people here says she's done it before, but it took months, and she can't remember how. Something to do with changing where outlook accesses to find contacts.

Can anyone help me out? It would be greatly appreciated.


I've found out where contacts and everything is stored, I believe... "C:\Documents and Settings\administrator\Local Settings\Application Data\Microsoft\Outlook\"

I've found another method, would this work?

Now, how do I change where outlook accesses these from? In theory, if I put that outlook.pst file on the network, and set all the computers/outlooks to access it there, I would have succeeded, no?

I emailed myself some microsoft outlook contacts from my old PC to my new MAC - and when I download the files they are each saved as a "Unix Executable File".
I tried opening with every program available on my MAC and I only keep getting this message:

"This attachment is a MAPI 1.0 embedded message and is not supported by this mail system."

Any suggestions? My old PC is long gone and I don't know how I wll be able to recover all my old contacts!!!

I suppose that users have each one his laptop with Microsoft outlook installed.
The steps are:
1) Download "ShareFoders" software from this site:
2) Install on each laptop the "ShareFolders" software.
3) Start Microsoft Outlook.
4) An assistant appear to set up the initials values.(Accept the default values)
4) The "Share Folders" button appear in outlook's bar tool
5) To share for example calendar folder:
- Click in "ShareFolders" button
- Select calendar folder
- Select with who to share
- Click in "Share selected folder" button
6) An invitation window appear in the guest's outlook, if the guest accept the invitation an email of acceptation will be sent to origin

When I receive an e-mail from someone, and I choose to reply to it, it automatically appears in the format of "User <[email protected]>" in the "To:" field of the reply window.

Is there a way that I can automatically have it format it just to say "User" in the "To:" field, without having to add that user to my contacts? All I want is the recipients name in that field, as I'd prefer it to not display their e-mail address there as well.

Hello All,

I am trying to send a HTML email to multiple clients from my business.

I am using Outlook Express.

The error I receive is:

This message could not be sent because one of the reciepients was rejected by the server. Server response '550 Invalid recipient: <[email protected]>'.

Obviously I haven't posted the actually message for personal reasons.

When I do remove the contact in question, I receive the duplicate error on another contact and so on and so forth.

The autocomplete feature in microsoft outlook 2003 only works with some of my contacts. Not sure why this is? For instance, I have many contacts that start with i, but when I type in i, only some of these contacts come up as possiblilities? Any and all suggestions as to what my be going on are very welcome. Have you rebuilt your autocomplete list?? This list is populated when you send emails. As a quick alternative, unplug your network cable, send a test message to all your contacts, then delete that email from outbox. This will populate all your contacts in autocomplete list. Hope this helps

Also I was wrestling to find out why autocomplete didn't work. The reason was, I was using default profile. You have to create a profile after upgrading from Outlook2000 to 2003. Control panel->Mail->Create Profile->New. Then only Outlook2003 setup .NK2 file for that profile.

Ok, this is Outlook that comes bundled with Office XP, it's just called Microsoft Outlook.
I just received a HDD from a failed system, and of course I can't boot it up. I already recovered all the folders and email from that system, but I have no idea how I can get the address book back, or the contacts.

What file does Outlook use to store them in? I imported the big 1GB .pst file but I don't see the contacts stored there, only the emails.

I'm using Outlook 2003 on this machine, what can I do to recover the contacts? There isn't a .pab file.

The Contacts should also be stored in the PST file. Are you sure you grabbed the right file? Instead of importing you should just click FILE >> OPEN >> OUTLOOK DATA FILE

I have all my contacts saved in outlook and they are all filed last name, first name, but i try to change it to re-file them as first name last name, and ive tried using the address book option, and that only works to changing it to last name first name, not the other way around.
the contacts are already filled, so i cant use the contact options to change it because it only works for new contacts. i am trying to file them as first name last name so i can syn them to my touch pro. ANY help would be very much appreciated.

I keep contact details in my Microsoft account (at Sign in to your Microsoft account). I've been using Outlook 2010 with the Microsoft Outlook Hotmail Connector and this used to synchronise my contacts fine.

However, for a while now, I've noticed mail synchronisation errors and I've had to configure my Microsoft mail account to use the standard IMAP settings (not via the Hotmail connector).

However, this method no longer synchronises my contacts. How do you configure the mail and contact settings in Outlook 2010 to synchronise both mail and contacts in Outlook 2010 with my Microsoft account?

Hey everyone, My dad currently has a problem. He has hundreds of e-mails in his Outlook program but has only saved like 2% of all the e-mails to his proper contacts tab in the program. The rest he has just kept one email from them so that he can e-mail them back.

Now basically I have got to save all those email addresses from his emails and move them to his new Hotmail account. Any idea how to do this? I have no idea :/

I exported a large (3,000 tasks) mpp to xml and when I attempt to open it with Project I get the error "An unexpected error occurred.The file may be damaged." I tried exporting it several times but get the same error each time. I don't see anything obvious in the xml, but it is huge and something could be lurking someplace that's not apparent.
Does anybody have any ideas?

In my documents folder I have a outlook file folder created automatically.
I backed up to the same folder,seem to have worked okay.
When i try to import i get this message This outlook data file (.pst) is already in use in the current profile.

As you may have guessed I am not the sharpest tool in the shed.

I am looking for a utility or SAFE and RELIABLE way to export emails from outlook as part of a backup strategy.

For those of you with patience, please read my entire post before responding. THANKS VERY MUCH!

Urgency: Some. Outlook is complaining that my OST is out of date for some reason (perhaps one of my accounts has been updated as I my Office 365 cloud services are being upgraded). The exact message in my local machine Outlook 2010 is "Outlook is using an old copy of your Outlook datafile (.ost). Exit Outlook, delete the file, and restart Outlook. A new file will automatically be created the next time you initiate a send/receive."

This makes me nervous in various ways.
1) It's Microsoft. Sorry guys, but with over 20 years of using your software, your automatic updates, even with Windows Updates, have had a failure rate WAY TOO HIGH for me.
2) It's Microsoft. You are too cavalier with MY DATA, offering no suggested backup and mitegation strategy in advance of the the delete.
3) I use Microsoft too extensively and over ambitiously. My OST is the file store for more than one Exchange account and several POP accounts and have hundreds, if not thousands of email records I use for historical reference.

As to backups, I regularly backup my OST and PST files as part of my backup plan. But if one verified backup is good, two or three is better. And various forms is better yet.

A:Looking for safe ways to get email exported from Outlook.

As the Outlook .ost file only contains messages of an Exchange ActiveSync account for offline use, it's completely safe to delete it. Be sure Outlook is completely closed when doing this. Next time when Outlook is launched and it's online it reads the messages from your Exchange ActiveSync account again and creates a new .ost file.

Hi everyone,

I'm trying to import my exported Windows Mail to Outlook 2007. I exported my mail a few days ago from my laptop to an external drive before I scrubbed that laptop to give to my little brother.

Under Outlook 2007
File->Import and Export...->Import from another program or file->Outlook Express 4.x, 5.x, 6.x or Windows Mail

When selecting the options above, I get a message, "No internet accounts were found to import."

I was hoping it would open a dialog for me to point to the exported folders that were created by Windows mail. I've tried the following option below, with similar results:

File->Import and Export...->Import Internet Mail and Addresses->Outlook Express 4.x, 5.x, 6.x or Windows Mail

Does anyone know how I can recover those messages with dates intact? Windows Mail exported my mails into the folders with .eml files in them, but I get no options to import them from Outlook 2007. Each .eml file appears to be individual email messages.

Okay heres the skinny.

We run Exchange 2003 but we only run it internally for a small number of employees. The rest of the employees just use a hosted email solution. ALL of the users have the hosted email that get downloaded into Outlook 2000, XP, and 2003 via POP but a small few (about 75 out of over 400) also have an exchange server account that the downloaded emails from the host then go into their mailbox and are stored on the exchange mail store.

Now that you know whats happening here, let me explain the problem. Essentially the problem is only the 75 people with an exchange account and a mail store are able to get the GAL which contains ALL of the users emails (even the ones that don't have a local mail store). In order to get the users not attached to the Exchange and without a mailbox to get this GAL list we worked on setting up a VBS to export first name last name and email address from AD for us to then send out to update for users to then import this list into their clients.

Well this is a drawn out function that 1) alot of users don't want to use (or don't know how to use it) 2) has a big drawback is each time there is a change to the GAL they have to download a new list and then they have to delete their old contacts out to ensure the ones that are missing from the list disappear from their contacts. 3) This is something we have to run each time someone wants an update.

In an effort to make my email more friendly and portable, I set up an account. I followed the instructions to migrate my contacts via a .csv file. When I go to the "People" tile in, all the contacts are there, but when I try to use the "To" button to start composing a new email, it does not have the contacts listed. Any insight on what might be going on? problem with contacts

From what program/service did you export your contacts? I just tried it w/ Gmail. I randomly selected couple names and exported them as a csv file for Outlook. Then from, I imported the file. The names showed up in People, and when I began typing in the To box, the name of the contact appeared. The normal behavior.

Then I randomly selected couple other names in Gmail, but this time exported them as a csv for Gmail. I was able to import this file in The names showed up in People but no other info got imported. No email addresses and no phone numbers. And typing these names into the To box didn't bring up anything. Information was in the csv file, but the fields are arranged differently between the two files.

Perhaps this is what's causing your problem. See if you can export a csv file compatible w/ Outlook.

I just switched all my details over to a new computer - including my Outlook. On my old version I had a few files that had/have the contact name + SBE - small business edition. At one time I did have the SBE edition of Outlook but have not for some time. After transfering my data I am not getting a error when I type in someones name - the messages are as follow:

I do not know anything about the messages you got, but I have moved Outlook Contacts at least a dozen times. If what you are moving are contacts, this is what works:

On the old computer, export the contacts to Excel. Excel is wonderful for this. All of the telephone, fax and email formatting will export fine. Do not map the fields. Let the default map take care of everything.

Then, however you wish, by CD, floppy, email, patch cable, etc, copy the Excel file to the new computer.

Last, import the Excel file into Outlook, again, accepting the default map.

I have several Doctors' names in my Outlook XP Contacts file. They are all filed the same way--'Lastname, Dr. Firstname'. However, when I do a search (when sending a fax or an e-mail message) they can't all be found the same way. Most can be found by searching for 'Dr' but some must be found by Lastname and some by Firstname. I can't see any difference in the properties of any of these listings that would cause them not to come up the same way.

I had a crash and the operating system had to be restored non-destructively. The backup operation saved the Microsoft Outlook .pst file. I have now recovered all the e-mails but the Contacts folder is "empty" when looking for an address. The Contacts folder (as well as the Calendar folder) also does not appear in the list of folders in the Navigation Pane. If I attempt to export a comma separated file (DOS) from the Personal Folders, the "Contacts" folder appears in the window when browsing for the folder to export. If I export that file, all the contacts are there complete with all the addresses when viewed as an Excel file. Any suggestions on how to integrate the contacts into the Personal folder without having to recreate a contact file manually from the Excel file? Cheers, Wondering Willy

Using Vista Easy Transfer, I migrated all my files from my XP laptop (running Office 2003) to my new Dell laptop (running Office 2007).
Everything went fine, except I don?t have any address book when I attempt to send an email from Outlook. All my contacts came across in the transfer, but they don?t appear in an address book.
When I attempt to designate a Contacts folder (via the properties dialog box in the contacts folder) as an Outlook address book, the check box to allow this is greyed out ? and under the Administration tab in the same properties dialog box, it appears that no one is allowed access (nothing is checked, but this is also greyed out).
When I have installed Office 2007 on other machines, still running XP, all works OK ? so it appears the problem is Vista based. Any solutions??

I have 2 issues with MS outlook 97:

(1) problem of deleguation with MS Outlook 97:
I encounter following problem:
User "amanda" did deleguate her mail to user "johanna".
When Johanna sends email for Amanda, in the
"from: " field of the mail, it is displayed "Johanna; mail sent
on behalf of Amanda".
At first glance, this seems logic, but all other users
of this small exchange/MS outlook network, who send mail
on behalf of someone else do not encounter the same problem.
All of them would have only their own name instead of the
name of the delegator (exple: user "alex" has delegated his mail
to user "jack", and when Jack sends mail from alex's delegated mail box,
the "from..." field displays only Jack's name.
I've checked all possible settings on the exchange
server but the problem is not there.
I went to check both mail set ups for Johanna and Amanda, and
they are standard (as it is for the other ones who are not encountering
same issue with deleguated mail accounts).
As for the deleguation, it was well done (we do it oftenly).
Any clue?
(2) Still in Ms outlook 97, I went in CONTACTS (clicked on it from left side), and I did a new contact.
The new contact appears under CONTACTS, but when I create a new mail message, then I click on TO, in the "Select Names" dialog box, if I choose "Show names from Outlook Address Book ", I dont see that ... Read more

Our contacts database in Outlook 2003 has several categories. When I open the Address book, and go to Outlook Address Book - Contacts, the categories never show up. What would I need to do to get them to appear?
If I have a category unnamed ("none"), then that is the only category that will show up.

Ok, now, I tried to move some of these categories into the unnamed category, trying to create a sub-category. Didn't work, But it did merge the two categories together (copy/paste). Since it didn't work the way I wanted it to, when I try to delete the merged category, it also deletes the other two original categories (If I recover from the Deleted Items, they go back to their respective categories, including the merged one). I don't want this merged category and cannot delete it. Any suggestions on how to unmerge this?

I've made a copy of my Outlook Contacts & Calendar on one computer (in pst files) and am trying to import them to Outlook07 on my laptop. The Calendars pst file imported without a problem, but I can't seem to get the Contacts pst file imported. After I've selected the Contact pst file to import the laptop tells me it's importing "Calendar".
What am I doing wrong???

Hi, I was trying to backup my contacts on my Nokia E-71 phone using Outlook 2007, this is my first time doing it. So apparently the current Outlook in my pc already has a whole bunch of contacts which belonged to someone else and so both of our contacts are now merged together, is there a way to undo the sync?

I have a contacts folder that I can view in the main frame by hitting the "Contacts" button on the left side of the UI. But I cannot use this folder as my address book. That button is located between the "Tasks" and "Calendar" buttons. I am describing those buttons so that you can see exactly where I am in case I'm looking in the wrong place.
Anyway, I have followed the instructions at;en-us;287563&Product=ol2002

which entail "Installing Outlook Address Book Service" and then "Mark your contacts folder for use with your address book".

After doing this, I have the contacts folder name that I chose, it is in the address book drop down but the folder in the drop down is empty. I cannot figure out how to have that address book drop down navigate to the folder that I can view by hitting that "Contacts" button.

I have stumbled upon really freakish issue with Outlook 2010.
Here's scenario:
My users are being migrated from XP machines with Office 2003 onto Widows 7 with Office 2010.
One particular person had a quite large amount of contacts (over 500) on his mail account. This seem to be stored on Exchange Server as they travelled across to new machine without any local migration.
Now, the problem is following:
Each contact had a business phone number and business mailing address (not electronic mail!) among lots of other details Outlook allows you to put down. Each contact also had an option marked under "Addresses" panel - "This is the mailing adress"
where next to it was written down address of given person.
When user is creating an e-mail and selects a recipient from his local address book instead of corporate one he can see a list of suggestions according to his search criteria. On this list we've seen person display name and other details, however in E-mail column there was a phone number. Seems to be pulled from field Business Phone number". When such person is selected his e-mail address shows correctly but if someone on the other end doubleclick on such contact he is able to see phone number. This is a big issue while mailing couple of people at the same time.

Hi I have Office 2010 which came bundled with Outlook. What I am trying to achieve is to trasnfer my iPhone contacts to my Outlook on my PC. I go through the iTunes contact sync and in iTunes I select Outlook as the option to sync with. After iTunes tells me the sync is complete, no contacts appear in my Outlook.

I used to have Outlook Express but now have the full-blown version of Outlook, could this be causing the problem?

Do you have iCloud Contact sync enabled on your iPhone. Note that if you do, iTunes will say that contacts were synced but like in your case, no contacts will appear within your Outlook. iCloud Contact sync and Outlook sync via iTunes do not go together.

You can alternatively export your iPhone contacts to outlook using third-party tools such as copytrans contacts:

Make sure to select the Outlook option once prompted during export.

I have Outlook 2000 SR-1, and use Windows XP Professional, Version 2002, Service Pack 2 (to the extent it is relevant). When I go to address an email by scrolling down the list of contacts that show up by clicking on the email "to" button, only some of my contacts come through, despite the fact that all of my contacts contain email addresses. I have checked the Microsoft website, and their fix on this (OL 2000 (CW)/Q197907) for Outlook 2000 is limited to Outlook installed with the "corporate or workgroup" option, which mine is not. I was unable to find any additional help for this version of Outlook and would greatly appreciate any insights. Thank you very much.

Do you have more than one Contacts folder in Outlook?

Open the Address Book in Outlook, are there folders or groups listed under Contacts?
If so, look in each to see if the missing Contacts appear.
If Contacts appear in other folders, you can Copy them to the main folder.

When using the To: button, you can also click the drop down arrow and switch to the other folders (if they exist) to select those Contacts.

I am trying to import a csv file containing contacts. I know the steps - Import Export > Import from another program or file > Comma separated values > Browse. I select the file and click Next. Then I get the box to select the destination folder. The problem is that no folders show up in the box. There is no destination folder displayed to select. This works on all other PC's that I've tried.

Are there any suggestions?

This computer has XP and Outlook 2003 SP1. I am in the process of updating to SP2.

I seem to have several contacts in Outlook 2007 that are invisible in the normal contact listings (in any view). However they can be found using the "Search All Contact Items" box. Under My Contacts I only have two listed files, one called Contacts, which contains all the visible listings, and the other called Contacts in My Mailbox , which has nothing in it. Can anyone help me find where these invisible contacts reside so I can grab them and put them in my main contact file so they are visible in a normal listing. Thanks!

I have around 950 contacts in my old Nokia C3. To transfer them onto my Lumia 820, I exported them as CSV and uploaded on Google contacts. Everything works fine but when I try to sync the account with my phone, I get all the contacts but half of them are without phone numbers, I see just the Google profile.

So, I called Nokia and they asked me to upload the contacts on Live. But when am doing so, I face the same issue, half of them dont show the numbers. This is confusing that I see all contacts on Google but not on outlook.

What I have tried:

1. Exporting google contacts as outlook csv
2. Delteiting my phonebook and re syncing Google account.

I have lost access to my phonebook and desperately need the fix.

Hello. I am having a problem with Outlook 2007. I had a serious issue with my installation and had to reinstall Outlook. I have my backed up .pst and have successfully restore it -- sort of.

I have all of my mail and folders back, but I do not have any of my contacts or schedule information. I have looked around online and everything seems to say that these items ARE in the .pst file. Why do I see my messages, but not the contacts and schedule info?

Any assistance would be greatly appreciated.

I hope you still have your backup pst file unmodified as it was before the reinstall. If you still have it I would make an extra copy of it as it probably still has the data on it. It has been years since I was lost pst data through corruption but it was an experience that I will never forget. I have been doing redundant backups of the pst file since.

What type of installation problems caused you to have do the reinstall? Was all your database information, mail, folders, calander and contacts working properly at this time prior to the reinstall? Have you sync'd the data with any other software or programs? Cell phone sync software can be used to overwrite pst data and have been know to corrupt pst files. Are you using a Microsoft Exchange server or interfacing with another mail program either on your PC or online? Microsoft Exchange stores it's data in a ost file. Did you import any data during the install of Outlook? Did you restore you pst file thorough Data File Management? I am not sure if I can help but this is where I would start.

Hello, I have multiple issues regarding address books and contacts. I am currently trying to organize multiple address books on my Win 2000 desktop(outlook express) my laptop XP (outlook 2007) and my IPhone 3G. They are a mess because of old cell phone backups combined with address book entries. I now have multiple entries for numerous contacts etc.
After organizing all these contacts/address books I would like to import to my new Win 7 desktop (outlook 2010 beta) and retire my Win 2000 desktop. These are all stand alone computers that are not networked other than through a router to share broadband access.
I tried searching for software to help combine and organize all three of these but had no luck.
I then tried manually updating all my contacts on my laptop and Iphone but I ran into a glich of sorts. After making the changes on my Iphone and doing a ITunes sync, some of the contacts disappeared. Right now I am not sure how many, but I noticed a few of the ones I use alot are gone on both my laptop and Iphone.
I do not subscribe to or use the "mobile me" feature.
I have spent quite a bit of time searching the net without finding a solution.
Any help you can provide would be much appreciated!

It seems the article was designed specifically for this purpose so I have high hopes it will accomplish your objective. You do not drag the contents (which is essentially copy/paste) - you use import/export instead.

I'm having a problem with my Outlook Address book not displaying some of my contacts.

The setup is this:

Within Public Folders, All Public Folders I have 'My Folder' and a section for Contacts.

With Contacts I did go to properties -> Outlook Address Book tab -> and checked 'Show my folder as an e-mail address book'

However not all of the contacts correlate with this folder. I've named the address book 'My Folder contacts' to make sure I was looking at the right folder.

I did check several entries that were not appearing and made sure that in the field: "File As" that it was filed as Last Name, First Name. But still it did not show up in the email address book.

Any ideas would be greatly appreciated.

We upgraded to Office 2003 (from 2000), and I'm having trouble printing envelopes in Word.

I select Tools>Letters and Mailings>Envelopes and labels

When I click on the address book I get this message:
Either there is no default mail client or the current mail client cannot fufill the messaging request. Please run Microsoft Office Outlook and set it as the default mail client.

I click OK, and then I get the following message:
Logon failed. You must log on to Microsoft Exchange to access your address book. Error code: "unspecified error."

Outlook is set as the default mail client, but I'm not familiar with Microsoft Exchange. I'm hoping I just need to change some settings.
Can anyone help?

I send a lot of faxes and it's annoying not to mention inconvenient to manually add contacts so they show up in fax and scan.

The way I got this done was to export the contacts from outlook, import them to gmail, then after gmail did its magic and merged + fixed all the duplicates I exported them from gmail as a .vcf and opened the .vcf with windows contacts and it added them one by one.

I exported contacts from OL 07 to a .pst file, and then added the .pst to OL03 on a new PC. the contacts came over fine, except that I had 1873 on my old PC (OL 07) and only 1825 on new one OL 03 --

why did the other 48 contacts not go with the pst? yes, they are recently added contacts that are missing.

OL 07 not connected to MS Exchange when I created PST, but is this a synch problem?

Hello all:

I am having problems importing a customer's address book from Outlook Express (XP) to Windows Live Mail (7). The addresses are being (mostly) split into each individual entry: some are just physical addresses, some email addresses, some phone numbers.

I searched on your forum here and did not find the answer to the problem (indeed, I didn't see anyone else having it!) so I thought I'd ask to see if you've heard of anything like this. I would appreciate greatly any response and I apologize if this is something that has already been posted.


Edit: I've found that not only are some emails being split from their contact information, but there are 3 contact entries for every phone or phone/email contact. Help?

Prior to Vista I was using Thunderbird. Now Vista was able to covert all my addresses from Thunderbird to the Vista Contact folder. Now I am wondering how I can transfer those contacts to my Outlook 2007.

There really should be a quick and easy way to do this.

If you have had Outlook reinstalled recently, you may need to go to Tools/Account Settings to add your personal files. 
Click Tools.  Choose Account Settings. 
A window will open. Click Data Files. Choose Add. Then Choose the .pst file and Click OK. Click OK to Save, it will prompt you for a password which you can enter if desired or just click OK. You will then see the list of .pst files in your Account Settings.  Click Close. (you may have more than one .pst file so you will have to repeat these steps).
This is something to try and see if it works. Your personal folders should now show up in your Navigation pane with all your other folders.

Hi there,

I am attempting to export a table from Access 2000 to a .txt file, which will then be merged into Adobe InDesign CS2. I am following the instructions from InDesign to accomplish this merge, which requires that the file be in a .txt or .csv format.

I am trying to keep my list from the table in Access 2000 in alphabetical order, which is how the design of the table is saved. When I export the table to .txt format, it un-alphabetizes the list. When I select "Save Formatted" during the export process, I end up with a .txt file in a code that InDesign will not accept in the merge.

I have tried exporting the table to Excel and then to a .txt file, but InDesign will not let me merge the files that are created that way.

Any ideas about what I can do, short of exporting the table anyway, and then seeing how well I can manually cut, paste, and alphabetize the fields?

Hello all:

First time poster.

In the folder/tree view on the left in Outlook 2007 (Windows XP Pro) the Contacts folder is not showing up.

In Outlook 2003, it was right there underneath Calendar, which, by the way, is also missing from the Folder/Tree view.

I can access my Contacts via the big tab at the bottom but I want the tree/folder view as it broke up the hierarachy very nicely.

Any ideas?

We've purchased a new laptop and are using Office 07 now, Windows XP, instead of the old office 03. Regarding Outlook, when I tried to save the old .pst file(Outlook 03) and then import old emails and contacts, the emails imported very easily into Outlook 07. However, none of the contacts were imported. Is there a simple way to export or save Outlook 2003 contacts to a file that can then be imported into Outlook 2007 on a separate computer??

I recently re-installed my entire computer, incl. MS Office 2002.
When restoring the .pst files, something went wrong. Maybe I needed to re-install more than just .pst files, maybe it screwed up because I renamed the back-up files?

Either way, the problem is that the Contact folder is not displayed in the Outlook Address Book, and I cannot manage to make it so.
I tried the following:
- Right-clicking the Contacts folder, Properties, Outlook Address Book tab. The checkbox "Show this folder as an e-mail Address Book" is greyed out, so I cannot check it.
- Tools, E-mail accounts, View or change existing directories or address books. Outlook Address Book - MAPI is listed (as only one). When pressing Change..., I get an error message: "This E-mail account cannot be configured. Please run Outlook and choose this profile before attempting to make changes to it." There is only one profile (I had 2 before re-installation, but no longer needed the second).
If I try to Add... an Additional Outlook Address Book, or a Personal Address Book, I get the error message "The account you have added is not fully configured. It might not work properly until re-configured correctly."

Nice, but how to re-configure it correctly??? I prefer not having to re-install the program...

I tried to Remove the listed Outlook Address Book, but then could still not Add... one (same error message), so the originally listed one re-appeared.

What can I do?

I have 2 problems with using the Outlook version 2000 Mail Merge feature.

Problem 1:

I want to Mail Merge Outlook contacts into Mailing Labels. however, there is a field missing from the available fields after I complete the all the steps.

I tried this 2 ways:

1. All contacts in current view/All contact fields

2. All contacts in current view/Contact fields in current view--after adding the Categories field to the Current View

I also tried adding a user-defined field and then tried both choices above.

In all cases,the Categories field or user-defined field is missing from the available fields: missing from the Insert Merge Fields and missing from the Mail Merge Recipients dialog box.

Here is the sequence I use:

Open Outlook

Click on Contacts shortcut (or View/Go To/Contacts)

Tools/Mail Merge

Select All contacts in current view/All contact fields from the dialog box choices. Select Mailing Labels from the Document type drop down box.

Click OK

Click OK on the warning message: "Outlook has created a MailMerge document...."

In the Mail Merge Helper dialog box, click on Main Document/Setup

Select the label product/type from the Label Options dialog box. Click OK

Click on Data Source/Get Data/Use Address Book. Select Outlook Address Book. Note that the Categories field is not include... Read more

I have reinstalled OL2003 and my account was imported from Outlook Express. I am so confused about where outlook 2013 keeps things.

I have installed Outlook 2013 and would like to import my contacts from my outlook 2007 in another computer. I have already prepared the contacts.pst file from outlook 2007 and made it available in my public folders. I then imported the .pst file into Outlook 2013 via network. However the contacts shows up as a separate contact list rather than integrated into the outlook 2013 address book . How to correct it?

I have Laptop with WXP installed. I am using Microsoft Outlook for mailing. Some time it happens that I receive a CC of mail send by someone but when I open the mail; I don’t see my address in CC list while I receive the mail. Normally when I receive a CC of mail, I found my name in CC list.

I accidentally double clicked on a file called TMPGEncSoundPlayer.prf. I didn't know what it was but it somehow reconfigured my Outlook Profile Settings and I have no idea how to get back to the way it was.
I've lost my Contacts, my Inbox and everything else. Is there something I can do to get back to where I was? This is not the least bit funny and I'd like to know what the H##L that file is doing in TMPGEnc Sound Player!!!

When I send an email with several addresses, I get an error msg (email) stating
"452 4.5.3 Too Many recipients" !!! This has just started lately. I have never heard of such.
Anyone have a clue what it's all about and better yet, to fix it??? Thanks, Alan

The message probably came from the mail server. Some ISPs limit the number of recipients for a single message (like maybe 20). If you are using a corporate server, you should talk to the administrator.

I'm not able to open the hyperlinks that I get in my Microsoft Outlook mail. When I try to open the link , I'm getting a Locate Link Browser window which prompts me to enter a file name. Below that the file type appears as .exe.

Please let me know how to resolve this problem so that I can open the links without a problem.

In my office, sometime when I download the mails from server, it download very slow and hang up while most of the time, mails download very quickly. Is it possible that during trouble I can check which mail creating problem so that I delete it before downloading?

Not really possible. Can you set your mail up on another machine to see if that behaves the same? If Outlook is being buggy, try a different and better e-mail handler, such as Thunderbird - Mozilla Firefox browser's sister programme. Download it from - you don't need to set it as Default until you're sure you like it but you can import settings and files from Outlook without losing their use in Outlook.

Dear people,

I am using Microsoft express outlook on my PC.
I was asked by" Gmail people " to change my password as someone had tried to acces my E Mail.
Ever since i changed my password on my G Mail internet account(for security reasons), outlook does not want to log on to the POP3 Gmail server.It keeps asking for User Name and/or Password and rejects it.
What steps shall i take?I am using Windows 7 Ultimate system.
When i go to the Outlook E Mail account and do the test settings,both servers incoming and outgoing are recognized and test message is sent out ie :completed.It just does not want to log on.
It was working before i changed my password on G Mail.
Please advice me what to day.Many thanks

I am having a big problem which I can't seem to solve on my own and REALLY need some help! Somehow, while searching for a foreign language translation feature I must have turned on the speech recognition feature of Outlook. Now when I am trying to write an email, nothing will print when I go to type in my message text. I can type in the "subject" area OK, but when I go to type within the message part of my email, nothing happens. Through clicking around I found that if I click on the "A" icon just above the message window in the toolbar, then the typing feature is active and I am able to type in my message, but otherwise it will not work. I have looked in HELP in both Outlook and Microsoft Office Word to find out how I can get my email program back to the default settings - just plain old "type in your message" stuff - but I just can't seem to find the answer. Microsoft is no help because the program was installed by the people who custom build my computer and they referred me back to them. The computer guys can't figure it out either because it is a software "issue".... I must add that Outlook worked great until I started clicking around to find out about the language translation feature. So, if anyone can send me instructions on how the hell to turn off this voice recognition feature (and I am assuming this is the issue here) so I can get back to my regular email business, please do so ASAP. HELP!!! I don't know what the heck I did but for some reason, my Outlook is all screwed up. Its part of my Office XP suite. For some reason, when I open it up and click on my "Outlook Shortcuts" I get this message:

Unable to display the folder. Microsoft Outlook could not access the specified folder location. The file C:\Documents and Settings\Trevor\Local Settings\Application Data\Microsoft\Outlook\Outlook.pst is not a personal folders file

I don't know what or how I screwed this up. I've tried reinstalling the whole office suite and it didn't help. Any ideas?

Hi all

I work for a company that sends out three newsletters a day. I have been having serious problems after people receive our newsletters, sometimes a link will get corrupt and its always the same way...

it adds an "!%" into the link address.

Its not always in the same spot but always in a link.

I've tried three different mailing softwares. It happens to all of them so I think i can rule that out.

It seems AOL subscribers get the links just fine but outlook users get this problem quite often.

Anyone ever hear or know about this?

I need to save my MS Outlook Contacts from my PC at work (using Outlook 2003) to my PC at home (using Outlook 2000). I know how to use File> New> Outlook Data File> Outlook 97-2002 Personal Folders File (.pst)> OK to start, but that doesn't populate the new directory (or file or whatever it is) with the contacts.

How do I copy/paste, translate, whatever the contacts into that new directory?

Go to you current Contacts.

Hightlight them all - Ctrl-A

Copy them to the buffer - Ctrl-C

Go to the Contacts location in the new pst file

Paste them back in again - Ctrl-V

I had to remove all of my contacts from my phone (reason is too long to explain) and now want to sync my contacts from Outlook to the phone via EAS. My concern is that when I start the sync process, the phone will send the empty contact list to Outlook, thereby wiping out all of my contacts. If this possibility exists, is there a way to ensure that the sync goes from Outlook to the phone only, and not the other way around? Thanks.

I have a problem when I import my contacts from my desktop Outlook into my laptop Outlook. The way I do this is to export them from my desktop machine onto a flash drive, then I move that to my laptop and import them. The problem is that once completed, my laptop Outlook sorts the list by the first name, rather than by the last name as my desktop does.

My list is about 5K names, and while I do have a few occurrences where there are a couple of people with the same last name, there are FAR more with similar first names. You wouldn't believe how many Dave's I have!

I have gone into the "Tools, Preferences, Contact Options" on the laptop, and it IS set for "sort by last name."

Both computers are tunning XP Pro, and Outlook 2003.

I hope this will help... I've just sorted my contacts by last name by doing the following:Go > Contacts, then I selected phone list from Current view. Then right-click on the empty place of the contacts table and select Customize Current View > Fields and Last name field. Now when I click on the Filed column in the contacts table Outlook sorts my contacts by last name.Also, you can always move your contacts and other outlook data using this utility.

My stepdad used Microsoft Outlook 2000 for contacts only, not e-mail, just contacts, before his Microsoft Windows 2000 computer blue screened beyond repair. Luckily, we recently saved a .pst file, and now we need to restore his contacts. We reinstalled Microsoft Windows 2000 but are trying to avoid re-installing Microsoft Office. We have Open Office to replace his Microsoft Word and Excel, and it works great. The last piece of the puzzle is how to restore his Microsoft Outlook contacts from the .pst file. I've got too many issues today, or else I'd do the usual searches for an answer, I'm usually more resourceful that this, but in the name of time as my stepdad will get impatient without his contacts, should we try 1) Mozilla Thunderbird, 2) Outlook Express, 3) Windows Address Book, 4) Other? been looking up stuff on .pst and it seems that this is a proprietary format (and you know how MS is about their stuff !).

anyways there are a few tools on the net tat claim to be able to read .pst files

one is mailnavigator
and guidancesoftware>v4readmail
they may not do the exact job as you wanted but at least they can bring up .pst files.

Subject says it. Saved a backup of the pst file (outlook 98) onto the shared file of another pc on my home lan. When I go to import that pst file into Outlook XP it appears to happen but the contacts, calendar items, tasks etc are not there. Any help would be appreciated.
