Q: Outlook 2003 Public folder problem

Hi Guyz,

having a bit of a really annoying problem with the public folders.
In my organisation we have a calender list for everyone in the whole organisation, so that when staff come into the office in the morning they open thier own calender from the public folder and input where they will be at certain times on that day as alot of my staff move around offices and are out at meetings alot etc.

The problem i am having as that some (NOT ALL) of my staff are comming in to office in the morning and when they click on thier own calender, outlook jumps about 6 calenders up and takes them into someone elses.
Ive sat and watch it happening. Just with a single click, definately clicking on thier own calender, but jumps into someone elses.
They then have to re-click thier own calender again in order to access it.

Any ideas as to what may be causing this and how i can stop it?

I have a client that is having trouble seeing a Public Folder (PF) through her Outllok 2003 client. We are running Exchange Server 2003 within the network. I open the ESM (Exchange Server Manager) and I am able to see the PF there but not on her desktop. I have set the permissions for her to "Owner" of the folder and still nothing. This is happening while she is inside the network, any insight would be great. Thanks in advance.

If not make sure it's shared for her to see

You can also recreate the public folder link (by typing it in again) sometimes the link can be corrupted without showing it)
Note: by re-typing the location you may lose her current public folder data

One of our users accidentally deleted an entire public folder (she meant to delete one contact but had the folder highlighted instead of the one contact). When we try to recover that folder by using the "Restore Deleted Items" in Outlook, we receive an error that she does not have permission to do so. Only 4 users had permission for that folder, and we receive that error on all 4 user's computers when we attempt to recover it. I've tried to recover it from my computer (I have administrative rights on our network), but that folder doesn't even appear in the list of available folders to recover. The person that deleted it was owner of that contact folder, so I don't know why she wouldn't have permission to recover it. Anyone have any ideas?

Hi,
Can someone tell if their is a certain 'limit' as to how low down in the directory that you can add a public folder as a favorite in Outlook 2003?
Basically can go 2 down and seems to work ok but any lower into the directory and although the option is there (right- click) no fav is actually added?

I've got an idea that I want to use, but I'm not sure if it's workable. Here's my situation:

The company that I work for has added a desktop faxing software. It can use Outlooks Contacts to get fax numbers to send to so long as the Business Fax field is filled in with the correct fax number. What I've done is setup a Public Folder with all of these contacts in it (note, the list updates weekly). There's not a problem having my desktop users see it because we just turn on the option in Outlook to show that folder as an address book. The problem we run into are those users that are using OWA web access for their box. I have not found a way to include that Public Folder in an Address Book that they can access from the web. All it offers is Global Address List and Contacts to search from.

Please let me know if any of you had any ideas.

Hi I have a user that was migrated from Exchange 5.5 to Exchange 2003.

Now when he tries to download the Global Address Book with cached mode checked and unchecked he gets Object Not Found.
Also, after the migration he is getting synchronization error with the offline address book and most important he cannot view one of the public folder, that all other users can see.

So far, we have deleted .oab files and ran outlook \resetfolders and recreated his outlook profile. None of this has helped. I have been able to create his Outlook profile on another laptop and we are able to view the missing public folder.

The strange thing is the missing public folder shows up in OWA.

Any ideas?

Is there a way to restrict users from fowarding or replying to e-mails that go to a public folder share? I can set permissions to restrict them from deleting the e-mails but not from replying or forwarding these e-mails. We are using Exchange 2003 with Outlook 2007. We are going to be receiving sensitive information to this folder and just need to assure that individuals with the proper permissions can save and print the attachments.

Hello. I am trying to set up Public folders in both Outlook 2007 and Outlook 2003 and am having no luck. My basic issue is I don't have the rights to add any new folders. I went on my server and into server management and went to the Public folder and added myself as an owner but still no luck. Any ideas?

im having problems with one of my folder in my inbox not opening PDF files from that inbox folder only all other folders in the inbox have no problem opening any files with Attachments. The problem seems to be a problem with the permission I have checked the permission and they seem to be ok.
I have created a new folder and copied one of the email and still get the same error on the new folder. which is something along the lines of drag the fold onto desk top to create short cut and check the permissions. i have done this and i have full control of the folder.
I have also checked the folder options and check that PDF file open with adobe which is ok
And I have opened PDF files on other outlook folds in my email which open without any problems.
is there anyone that can help with this problem?

When trying to open Outlook 2003 for a particular employee, we get:
The path specified for the file C:\Documents and Settings\gardijanb\Local Settings\Application Data\Microsoft\Outlook\outlook.ostWe have changed how we identified users, cleaned all the old userid's out where this .ost file existed. I need the .ost file available to disable offline files. I tried copying someone else .ost file but it kicked it out not being the same userid. Cannot recreate the old userid, network will not accept it. The .ost file is not found in the Recyle bin.
Reloading the software does not help, it seems to know it needs to find the .ost file, maybe a setting in the registry.

I have a contacts folder that I can view in the main frame by hitting the "Contacts" button on the left side of the UI. But I cannot use this folder as my address book. That button is located between the "Tasks" and "Calendar" buttons. I am describing those buttons so that you can see exactly where I am in case I'm looking in the wrong place.
Anyway, I have followed the instructions at

which entail "Installing Outlook Address Book Service" and then "Mark your contacts folder for use with your address book".

After doing this, I have the contacts folder name that I chose, it is in the address book drop down but the folder in the drop down is empty. I cannot figure out how to have that address book drop down navigate to the folder that I can view by hitting that "Contacts" button.

I am having an issue with my contacts in Outlook 2003. Whenever i click on a "contacts" link (to add an email address) it pops up an error, and tells me to look in the help file. I have looked through the help file and i have been unable to find anything about it. Here is a screenshot of what it looks like:

To my knowledge because calendars are created via a mailbox in an exchange enviornment a seperate mailbox would need to be created and shared to all people needing the group calendar.

Or if a person would like to share their own they can choose the people they would want to have access to their calenders.

Is there another way to only create a calendar public?

Hi,

I was wondering if there was an easy way of assigning permissions on more than one public folder and its contents all at once?

Basically I have to add a single user to every single public folder I have access to. He will be given the same permission on every single folder and in every category contained therein.

Given this situation is there an easy way to do this quickly? I could add him manually to all of these folders but there are more than a hundred entries and I would prefer not to go that route if possible.

Not from Outlook, this needs to be done through the Exchange Admin interface. you might want to consider setting up groups in Active Directory just for this purpose, then all you need to do is add/remove users from group membership.

Hi,

I create a Public Folder (Task Items) in Outlook 2003 and then attach one Excel Sheet in it.

I am the OWNER of the folder.

If I just click on the attachment and press the DEL button then the file gets DELETED.

I don't want that to happen. I want to BLOCK my rights of DELETING THE attachment.

How should I go about it?

If you are indeed the owner of this folder then you should be able to right-click on i and go to permissions. From here you can give users certain rights and permissions. I would give the users reviewer rights if you just want them to read the e-mails and attached items as well.

My client uses Outlook 2000 to access public folders on an Exchange 5.5 server. The public folders contain 300-500 contacts. When he double clicks on a single contact to look at it, it takes as much as 15 seconds to actually open the entry. This seems rather too long.

Any suggestions for improving the response (other than faster computers and LAN)?

Hi,
I've been struggling for a while with the public folders in outlook 2002. Our company has a separate mailbox, which public folder has several commonly shared contacts. There are already many people, who have set up this mailbox and can access, edit and send messages to these contacts.

However, I tried to set up a few new persons to use these contacts, but they cannot send messages to them. They've got permissions to the mailbox, they can add and modify contacts and contact groups, but when I select a contact and click "new message to contact" (or something like it), it shows up in the recipient area as only text, not as underlined text indicating a valid contact. And when I try to send the message, it says that the recipient is not recognized etc. For testing, I added the mailbox for my personal account at the same time and I can use the contacts normally, these other two new persons don't. Only difference with us is that my account has a bit more permissions since I'm in the IT-dept, but others successfully using the mailbox are just normal users as well.

Does anyone have ideas what to do? Is there still some setting I could've overlooked? And as a second question, how can I send a message to several contacts in the public folder?

My LAN admin just upgraded me to Office 2007 and I'm slowly getting used to it! I have a question relating to Outlook 2007 and adding new contacts to a public address book. What is the quickest way to add a new contact to a public address book? In 2003, I could right click the contact's email from within a message and easily pop them into a public address book. Is there a similar way to do this in 2007?

We use Outlook 2010 with Exchange 2010.
There is a calendar in the public folders. Several People have the permission as "author" for this public Folder calendar.

One of the "authors" creates an appointment with a reminder in his own calendar.
Then he copies this appointment with the reminder to the calendar of the public folder.

A public Folder itself does not Support a reminder in the calendar. But if you copy an appointment with a reminder from your own Outlook calendar to the calendar in the public Folder, then a reminder in a calendar of a public Folder is supported.

The result is: Every other "author" gets this reminder popping up in his own Outlook calendar.

The question is: How to prevent the reminders popping up in the outlook of the other "authors"?

I'm using Outlook 2003 on my laptop (same on desktop system but it's in for repairs) and sympatico email. Recently i've noticed that despite deleting Outlook Connector and Live Sync ... messages that are being sent from Outlook are now being saved on line in the "sent" folder at hotmail / sympatico.

This seems to be a recent thing - did not notice it happening while using Outlook from my desktop computer.

Is there any way i can get this to stop happening. I do want to save sent emails to hotmail "sent folder" ONLY when I'm using the webmail.

Any suggestions would be most appreciated...

Running Outlook 2000 with Exchange 2000. I am trying to set a rule on a public folder to notify someone that they have a message waiting for them. I saw all the normal options and I don't want to send them the whole email as that could eventually take up too much space I just want to send them a notification.

I tried the rules wizard but couldn't figure it out, does anyone have a quick reference to do this?

I've corrupted the permissions on my C:\Users\Public\Public\Downloads folder. How can I recreate this folder? I've tried deleting the folder and then recreating it in the registry under HKEY_LOCAL_MACHINE\..\Shell Folders & User Shell Folders, but
to no avail.

I have a user who is the only one having a problem with this calendar. There is a calendar setup in Public Folders and 20 or 30 user's have access to it. When she accesses it using the Outlook 2000 client all of the appt's and stuff are srewed up. When she accesses it using OWA everything is fine. Just for fun I logged into my PC as her and setup her profile and the problem in the client persisted. I was surprised as I thought it was a problem on her computer. It doesn't look that way at all now. I was thinking of renaming her local Windows 2K user profile and than logging off and logging back on as her so that a new local Windows 2K user profile would be created on that machine. I would than create her Outlook profile again and see what happens. Any other ideas? Again, she is the only user having this problem. The calendar is fine on everyone else's computer. I have some users on Outlook 2003.
Here is the situation: When he opens outlook it automatically opens with the Outlook Today window. That is fine. But after he moves around and goes to the Inbox and then clicks on the Tasks. When he clicks on mail again he wants to go back to the Outlook today window.
He says he has done this on his home Outlook but can't remember how he did it.
Is there a way to do this.
I have played around but could not find a setting.
Any help would be great.

I'm using Outlook 2003 SP2 in a standalone configuration with Win XP Professional SP2.

When I click on the Inbox item on the Outlook Today screen (not referring here to the file list at the left of the screen) I get the following message:

"Unable to display the folder. Microsoft Office Outlook could not access the specified folder location."

I backed up my .pst (and archive) files, uninstalled Outlook, re-started Windows, and re-installed Outlook. The problem persisted.

I can click on Inbox in the file list on the left of the Outlook screen - works fine. The problem is more of an annoyance than a major problem, but I'm uneasy that something's not working proprerly - Outlook's too important to me for odd, unexplained things to be happening!

I have Wireless home network between 3 XP computer and 2 Vista laptop. I have turn on the share folder in XP computer and Public folder Vista without password. The computers that has XP can access the the share folder of all computer but the Vista one can only access the share folder of XP.

So the problem is between Vista and Vista. When I open the public folder on the other machine, a box apear asking for user name and password but there is no password because the XP computer can access the folder normally.

Could someone please help me. I am no longer able to see mail that I have sent in the sent mail folder. For example, I only see 3 emails that I transmitted.

I am using Windows XP and an optimum account. I have never encountered this before. I have also seen my sent mail all of a sudden it is not there any longer.

I accidentally deleted the Unread folder in my Outlook. This is the one that automatically keeps track of all unread messages in all folders. Is there a way that I can reactivate that function without completely reinstalling Office?
Found the answer between slipstick and help. Outlook 2003 has virtual folders called Search Folders where the messages show in a folder, but reside in another folder. They can be created form file>new>search folder> Great feature.

Hi,

We're on a LAN, the desktops use XPsp3, and Office 2003. Two clients experience freezes when accessing the Sent folders (Outlook 2003). The Outlook window goes completely white. Folder size: 4.5601mb. Task Manager shows system idle at 99%.

Hope that you will understand what i am trying to tell you.

Ok, this user has a laptop and he is using microsoft outlook 2003. he connects to an exchanger server. he is also using a PST file.

Now he created new folders where he would organise his emails. The one folder, lets call it "Jack" is now missing. we can not find it anywhere. In Outlook you have that find function. Well i run that function searching for emails that belonged in that folder. All of them come up but i can not see where they are placed now. Those emails belong in the "Jack" folder but i can't find the "Jack" folder.

Can anyone help me on this? is there a way to see where a message is from in the find function???

When I delete an email in Outlook 2003, it doesn't move the deleted items to the recycle bin (deleted items folder). It will give me the prompt, "Are you sure you want to permanently delete the selected items?" If i click 'yes,' the email will not be moved to the deleted items folder where I could recover it, it is just totally gone. Basically when I delete an email from the Inbox, it skips the 'Deleted Items' folder all together. How do I get deleted emails to show up in the 'Deleted Items' folder first, before they are permanently deleted.

I'm aware of the Tools>Options>Other Tab "Empty the Deleted Items folder upon exiting" check box, and it is unchecked, besides my problem is not upon exiting Outlook.

Have you tried creating a new Personal Folder and seeing if the same behavior exists in the new Personal Folder as well?

If it does, try creating a new Profile.
If it doesn't, then you can make the new Personal Folders the default Personal Folders.
You can then either copy the folders from the old Personal Folders into the new Personal Folders or keep two Personal Folders open in Outlook 2003.

You can have several Personal Folders open in Outlook 2003.
_________________________________________________________

Create a new Personal Folder (.pst) file and make it the default delivery location.

File > New > Outlook Data File
Name the new .pst file.
It should open in Outlook 2003.

Copy a message over to the Inbox of the new Personal Folders and see if the deletion process works properly in the new Personal Folders.
**To make the new Personal Folders the default delivery location:

Tools > E-mail Accounts > View or change existing e-mail accounts
In the drop down field for: Deliver new e-mail to the following location:
Select the new Personal Folders (.pst) file.

Close and restart Outlook 2003 for the changes to go into effect.

Control Panel > Mail Icon
Change the selection to: Prompt for a Profile to be used

A coworker's computer was running a Chinese version of Windows XP Pro and was having all kinds of problems. We wiped the hard drive and reinstalled an English version of Windows XP Pro that had originally been installed on it. We installed Asian language support for the new installation. We also did an SP3 update.

Before wiping it, we backed up the user's documents folders and Outlook 2003 PST files. MS-Office 2003 was reinstalled without any problems during the installation process. We then restored the PST files. We found that some folder names showed up in English while many others looked like other random graphics and symbols, but not Chinese characters. The heading for the inbox also has these gibberish characters. I suspect that the folder names correctly showed Chinese characters when running on the Chinese version of Windows. The contents of emails written in Chinese show correctly.

Searching the Internet for a few days did not find a similar problem being discussed. Do we need to install some other fonts? Change some registry settings to have Outlook use extended coding for Chinese characters? Manually edit all of the folder descriptions using readable text?
 

A:Gibberish in Outlook 2003 Folder Names

That is a different situation restoring a PST that was backed up from a Chinese version of Windows XP. The characters although not Chinese could be remnants from the previous OS language or there could possibly be some corruption in the PST.

Maybe try running ScanPST to see if it will fix your PST file. I forget the location in XP/ Office 2003 but, you may find it if you search for scanpst.exe. There are also 3rd party recovery tools out there that may help.

I'm interested to see if there are any other ideas out there.

Hey everyone --

OK, so I've been looking around the web for a while for an answer for this problem, but so far I haven't found any answers that have helped me. I'm having trouble on a computer in my office with it not being able to access its sent items folder. When I click on the folder, all I get on the screen is a gray box that says "Unable to display the folder." Every other folder works, and Outlook is checking everything out fine. I tried running MS's Inbox Repair Tool but I'm still having the same problem afterward. The only thing I can seem to find which is the cause of the problem is when outlook is networked in with an exchange server, which we don't have. The strangest thing of all is that the message counter that sits next to the sent folder keeps going up every time an email is sent out, showing that Outlook can access the file and save sent emails, yet there is no way for us to see them. If it helps, this computer also has ACT installed and the plugin active in Outlook.

Any ideas?!

Hi,
can anyone tell me how I can get rid off the: "Favorite Folder", or at least the contents in the Favorite Folder?
I can right-click the singel folders in it, like for example: "Inbox", "Unread Mail" etc., and then click on: "Remove" but after restarding Outlook, they appear again.
I want to permanently remove them from the Favorite Folder. (I think it's not possible to get rid off the folder itself but at least I would like to KEEP it empty.

Don't use Outlook as much as I used to so I don't know when this actually started.

When I try create a new email...Outlooks looks for the Contacts 'folder'...but I get an error saying "The address list could not be displayed..."

I then go to 'address book' and see that there are two entries for Contacts...the fist choice gives the above error (capture.jpg). When I click the second (bottom) Contacts...then everything pops up normally ?

How do I get rid of/delete the 1st Contacts listed in (doublecontacts.jpg) attached.

This is one I haven't seen before....I can't empty the deleted items folder.

The following has already been tried:

- Right click Deleted Items Folder and select "Empty Deleted Items folder"
- Shift click highlight the items in the folder, right click and select "Delete"
- Select Tools and then the "Empty Deleted items folder"
- Restarted Outlook

Any suggestions?

Operating System: Windows XP Pro SP1 [all latest updates]

Language Packs: Windows and Office Japanese Language Packs installed

I am having an issue when switching between English and Japanese. For instance I will setup a system for a Japanese user. Their mail folders and public folders will come up in Japanese. Some people have requested to be switched to English. I set all the Windows and Office multilanguage/regional options back to English. Everything is fine except for Outlook. The folder names (on exchange server 5.5) are either ??? or still in Japanese.

I have tried to remove and reinstall language packs. I have tried changing default system fonts. Nothing seems to change the fonts back on the mail folders or the public folders. I have even tried bringing up the same profile on a system that never had the Language pack installed.

This seems like it might be an issue on the Exchange server? Is there anything else I should try on the users system?

Is there a way to configure Outlook 2003 Professional to update user's contacts from a remote file?

What I'd like to do is have a central contacts list that is updated regularly which is then downloaded automatically by each user's outlook program.

The major snag I've hit so far is removing obsolete entries without deleting the user's entire contacts folder (and any custom/personal contacts they have).

Is there a way to selectively delete entries in the manner I've described? The central list would be on aour local domain server.

Last winter I did a mass mailing from a folder in the "Contacts" section called "Companies".

Recently, I wanted to do another mailing so I went into the "Contacts" section but the folder "Companies" was not there. Other folders in "Contacts" were there but not that one. How it disappeared I do not know.

When I go into the "Sent" section and back to last winter I can search on the name of any addressee in the mass mailing and it brings up the full record as I made in the "Companies" folder. So, it is there somewhere, but I can't find it.

Also, in Outlook 2003, I can go to "Tools" and then click on "Address Book". In that section it asks me "Show names from the:" and it gives me a dron-down menu of folders in the Contacts area and "Companies" is one of the ones listed. When I click on it, it comes up with a list of names and email addresses of all the people in the "Companies" folder. So, it exists somewhere. Any idea of how I can find it??

Dear All,

Please can you help with a possible solution. I need to get a public folder moved to a favourites folder in Outlook 2003, the problem is that I need to do this on over 200 machines, is there a script or GPO that can be used to complete this process?

We are currently running Server 2003 R2 and Outlook 2003 SP3

just like the subject states my 2003 does not empty the delete folder unless I do it manually. It states emptying when I shut it down but nothing happens. Any ideas (and yes I have switched the delete button on and off numerous times)?

I have two network cards in my PC. One of them connects to the internet while the other connects to my home network.

The issue is enabling public folders for the home network in "Network and Sharing Center" enables public folders for the public network also. In other words Windows grants permission to people on the internet to access my c:\users\Public folder.

Disabling public folders under public network settings disables public folders for the home network also, preventing people on my local area network from accessing my PC.

I think it's because you set up a Public Network as your first interface. Because of this it may not be possible to turn off the Public file sharing option.

You don't need to use both interfaces to share the wireless connection with your wife. You can do that with a single interface by just setting up a Home Network on one of the interfaces then sharing out from that interface using software to make it easier like Connectify.

Hi All,
My operating sys is XP Home SP2.
I'm attempting to send from my Outlook 2003 an email with file attachment (1MB or more) but the ,mail remains in the outgoing folder.
The recipient receives the message many times on a continuous basis (I sent it to another email I own) but on my side the mail remains in the folder listed above. In the send process the Outbox send/Receive progress detail dialogue box indicates that it's processing my request but not completed. Part of the time the following message appears "``Sending and Receiving` reported error (0x8004210B): `The operation timed out waiting for a response from the sending (SMTP) server. If you continue to receive this message, contact your server administrator or Internet service provider (ISP)"
I tried to fix the problem by:
1) exit anti-virus prog. (BitDefender)
2) remove and add my POP3 email account. Also performed the "test account settings" and it went well but the problem persists.
3) if it is a ppt file zipping it won't help.
4) My ISP does not limit "outgoing" the size of attachments
5) the workaround I do is send file from my gmail account but this is only a workaround and I wouldn't want to proceed with this.
Can someone assist me PLEASE?

I can no longer drag emails from my inbox to my individual mail folders within Outlook 2003 (with Win XP Pro.) I can highlight them by clicking on them, but the email never moves. I cannot even drag them up or down in the inbox. When I try this, I see the "slash" symbol for a brief second, but it goes away. It is like a settings has been changed, but this was working fine yesterday. I have tried draging with old and new email - neither works. The only thing I can do is right click, and choose "Move To Folder..."

Is there a way to remove this duplicate personal folder? I can create a new profile and that doesn’t have the duplicate, but I don’t have my address book in that profile and I don’t think that there is a way to extract the address book from a PST file is there? I checked the data file and there is only one PST file there. Anyone have a suggestion?

User just upgraded from Outlook 97 to Outlook 2003. When saving attachments in 97, you were given the option to choose your favourites folders down the left hand side of the Save Attachments dialogue box. This option is no longer available in 2003. Any ideas whether you can bring it up or is this not possible??

Greetings All,

I have a user that wants to be able to Reply to All in an Outlook 2003 folder. She recievs resumes through e-mails for different positions in the company, Pharmacy, HR, Help Desk, etc. When an e-mail resume comes in to her, lets say for a Pharmicist, there is an Outlook Rule to move it to an Outlook Folder named Pharmacy. Running Outlook 2003 and have forwarded email from account 'A' to account 'B.' This works fine, but what I would like to do is direct all email forwarded from the just sitting in the Inbox of account 'B', but to go into a sub-folder called, say, 'A email'.

I can set rules for moving email FROM a specific user, but how do I move email that has been forwarded into a separate folder?

Yeah . . . it was a dumb thing to do, but I inadvertently deleted the folder, even after I saw the warning. But I was distracted, and now my unopened items folder in Outlook is gone. Is there a way to get it back, because it's a pain to scroll through all my inbox folders to check unopened items.

Rafael, when you say that the email recipient (your other account) receives the email, does it also receive the Attachment?
Is the attachment "zipped", if not then zip it to drastically reduce it's size.
Are you with NTL by any chance?
Has your ISP got an "outgoing" limit on the size of attachments?
I would suggest that you have look at a "free" Google email account for sending and receiving large attachments.

Hello All,

I'm trying to send an email with an .xml attachment (generated by a registration form that I built in Adobe Acrobat 7.0) When I click the SUBMIT BY EMAIL button an Outlook email pops up, just like it's supposed to, with all data filled out correctly and the .xml attachment in place.

Once I click SEND the email window closes. When I check my SENT ITEMS folder the email shows up but the message doesn't actually get mailed out (ie the recipients don't receive it). I have tried sending from and to various addresses from 3 computers and always the same result. I would appreciate any help on this.

I am using Windows 7, Outlook 2003, Adobe Acrobat 7.0

I was wondering if anyone could help me with an issue in Outlook 2003.

We are using Exchange 2000 and Outlook 2003. A user here has a non person account added to their mailbox. This npa is used to store contracts and other emails. Several members of a team have access to this npa.

The user has created subfolders within the npa. If the user right click's a subfolder and selects copy XXXX where XXXX is the folder name, an error appears:

"Cannot copy this folder because it may contain private items".

The user has owner permissions to the npa and all sub folders. I looked through all the folders and could not find any private items. One folder was actually empty so I tried copying it and the same error appeared??!!

I logged the user out of Outlook and had him log directly onto the npa. It could then copy folders fine. Logged him back into his mail account (which has the npa added to it) and the same error occured.

Maybe this problem is by design, I don't know!

I have exchange admin rights and so I added the mailbox to my Outlook mailbox but got the exact same problem.

Does anyone have any suggestions for me?

You can't, per se, block a subfolder.

What you can do, however, is create a seperate Outlook datafile and use password protected encryption. Have outlook not store the password, and then you'll have to enter the password on each startup of Ol2003. Do note, however, that outlook doesn't always close fully when you exit, so it may not just be a matter of exit, but restarting the machine after exiting before it'll prompt the password again.

Hi,

This may sound a stupid problem but it really irritates me

I had Microsoft Office XP and upgraded it to Office 2003. When I had upgraded it I had Spambayes installed in Outlook XP. I disable Spambayes and tried the built in spam filter and found it to be really good. So I uninstalled Spambayes and started to use the built in one in outlook. What I have noticed is, there was already a folder in outlook called "Junk E-Mail" from Spambayes. When outlook was installed it automatically created a folder called "Junk E-Mail1"

It won't let me rename the folder it to "Junk E-mail" Dose anyone know a way round this? I know it seems a stupid problem but it annoys me

Help from anyone.

I’m trying to make a CD backup copy of all my e-mails. ( Microsoft Office Outlook 2003 ) I found where my e-mails are being stored on my computer ( .pst file ) but whenever I try to send them to my e-drive to copy on CD disk I get this message. “Windows encountered a problem when trying to copy this file. What do you want windows to do? I don’t get any other information and only two options. Either I can retry or cancel. That’s it. No other information is given. Retry fails so I just cancel.

Microsoft Office 2003 full office products. I have all the updates,at least thats what auto update is for.
I’m running Windows XP Pro on a Dell dimension E520 computer.

Can anyone offer any help?

Welcome to Tech Support Guy Forums!

Just copy the .pst file to the CD.
The .pst file contains all your messages, contacts, tasks etc.

If, when, you need to fall back on the backup, copy the .pst file back to the hard drive, remove the Read-only attribute and open the .pst file with Outlook:
File > Open > Outlook Data File
Browse to the location of the .pst file and select it. It should open in Outlook.

Let us know if that works for you or not.

I have after a bad case of clumpsy fingers deleted my much used folder in Outlook Express called Unread Email. I hope that some one can help me to create a rule for the folder when I create it again so that all my unread emails are there for easy access.

Today I was setting up a new computer at work Windows XP /Microsoft Office 2003 for an employee. The employee old computer was using Windows 2000 /Microsoft Office 2000.
So I setup the user email on the new computer and everything was fine until I archive his old emails. It created the archive folder but it gives me an error message when trying to click on the folder. It says, "Unable to display the folder it has reach its maximum size".

I tried the Detect and Repair and the Scanpst.exe but it did not work. I even tried to delete his user profile and re-create it but only some of his email shows up in his inbox.

FYI:

We use Microsoft exchange server here.

His pst folder is over 9,000,000

Does anyone has any suggestions to get this fix?

A user at my place of work set up a personal folder last week and moved in some mail items from her inbox. Since then she has noticed that other mails from her inbox and subfolders of inbox, have automatically moved to the personal folder. No rules have been set up and archiving is disabled.
Only certain types of mails have been moved, eg. similar headings, or from the same person.
Does anyone have any ideas?

I am using Outlook 2003 and running Windows XP.

If I reply to a message in my inbox, all goes well. Mail is sent and sent message appears in sent message file. If I have a message filed in another folder and try to reply to it, the message appears to send, but I end up with the sent message in the same file I sent it from. Nothing appears in the Sent Message folder. I have tried to reply to a message to myself and the message is received in my inbox, but the copy of the sent message only appears in the folder I sent it from.

Any ideas?

In Outlook click Tools> Options> Preferences tab
Click on Email Options button> Advanced Email Options button
Uncheck the box: In folders other than the Inbox save replies with the original message

Hello,

The left side folder list pane in Outlook 2003 changed the font on its own and I can't find a way to change it back to the way it was before.

How do you change the font and its size in the left folder list in Outlook
2003.

I tried the fix I found on the Microsoft site by going to display ->
appearence -> Advanced and then select icon and change the font and size
there but that did not help. It looks like it works with Outlook 2000 but I'm
on 2003.

Hello,

I am having a strange problem on a computer where the user is unable to view encrypted (via MS Exchange/Cert Authority) emails in her SENT folder. She can open encrypted emails in her INBOX normally.

I have checked her encryption certificate in Active Directory, Outlook, and IE. I have removed her key via IE and reinstalled it. I have reinstalled Office 2003.

When she attempts to open an encrypted message from her SENT folder, it asks for her password, BUT the password is not accepted. It's the same password she uses to open an encrypted message in the INBOX.

Outlook is up to date with patches and the back end is Exchange 2003. Outlook is not running in cached mode.

As a test, I had her send herself an encrypted email. She could open THAT email from her SENT folder, but only that email.

Is there a setting to clear her encryption key completely? I don't know where else to look as I've never had this issue come up before.

Hi everyone

dont know how but all of a sudden my Outlook 2003 hangs up whenever i click the "send/recieve" button. It downloads my emails from the POP server at almost a byte/sec or lesser rate and eventually times itself out, giving me the following error:

"
Task 'pop6.physiology.wisc.edu - Receiving' reported error (0x800CCC0F) : 'The connection to the server was interrupted. If this problem continues, contact your server administrator or Internet service provider (ISP)."

Further, the icon in the lower right corner of my Outlook 2003 window says that "Microsoft Office Outlook is synchronizing folders" and remains that way.

I have tried uninstalling and reinstalling, Outlook, MS Office and also tried System restore (to various, system generated restore points). None of it has worked, further the system is not able to restore to any point. I should also mention that i have a Norton/Symantec firewall installed. i have tried disabling that but to no effect. Also, if any use, here is the log from HJT, i cant seem to find anything suspicious:

POP Server [Earthlink] email problem:

I have a client who is having a problem with Outlook 2003, and downloading messages.

If they set Outlook 2003 to delete messages on the pop server which is hosted by Earthlink then, all the messages are sent down to Outlook instead of just deleting them off the server.

Is there a way to just have Outlook issue a command to delete them?

I have a user trying to send an 11 MB file to a public folder on our Exchange 2003. She keeps getting an error message that says

The message reached the recipient's e-mail system, but delivery was refused. Attempt to resend the message. If it still fails, contact your system administrator.

She was able to send the file to my account with no issues. Our domain is setup to be able to receive messages up to 15 MB. What is the most that public folders can accept? Is there a way to change the setting for public folders to allow larger files?

We are experiencing an intermittent problem with Public Folders in Exchange. Occasionally the sub folders under 'public folders' don't map to exchange when opened. Usually opening and closing the app fixes the problem. Anyone solved/seen this before?

Is this a separate exchange server or an all in one sbs? If separate, is it part of a DC?

Check your event viewer and look not just at errors, but flip through all of them. look for anything that would give clues both on workstations and server.

I'm not sure if this possible. I want two of my users to receive an email notification when a certain public folder receives an email. Basically this is just a way for them to know that the folder has received a new email so they don't have to constantly check throughout the day. I checked rules in outlook and the particular public folder's properties in exchange system manager and could not find anything. All of the exchange books I have does not say if you can or can't.

I remember with Vista, this folder had multiple entries and they were not mine(probably came with new laptop, like bloat ware?). I was clueless then (with Vista)what that folder was about...and I'm still in the dark(with W7) .

I just discovered today, with W7, this folder is completely empty. (Why?).

I don't remember if I shared it(with Vista), but now I realize I have options...to share or not. I feel silly sharing an empty folder. So I opted to turn sharing OFF . Is being selfish(not sharing) disadvantageous to my system?

Hello Pappi,

The "Public" folders, are basically folders that the public (all users) have full access to by default. They basically set to be shared by "Everyone" making it easier to share files between users on the local PC and network easy to do by simply putting a file in one of the Public folders.

Empty Public folders do not take up any space. They are not a security risk since they only have access to what you place in the Public folders.

It's just a personal choice if you want to have Public folder sharing turned on or off.

I have a public folder that has appeared on my desktop.
I kid you not.
I had updates to install,I did so,re-started and hey presto there it is.
What now ??? I don't want it on my desktop but there are no options to move or delete it

I stupidly didn't fully understand what the Public Folder was and deleted it. I thought that by doing that no one would have access to my personal files. Well, I soon discovered that I shouldn't have done that.

#1. Can I get it back from ?
#2. Now I can't put anything into the Library/Documents Folder and don't understand why.
#3. If I can't retrieve that Public Folder can I somehow re-create another sub folder.

I didn't look in the Recycle Bin. Would it have gone there?

I should have known better since I just got Win 7 but it seemed the smart thing to do at the time.

Use system restore, that is the easiest way, especially since you just made the mistake.

Hello everybody. We have a Windows 2000 server based domain. Recently we installed Windows Server 2003 x64 R2 edition to a new server and added this server to the domain only as a member server. On this w2k3 server we have several shared directories for all domain users. The problem we have is that though everything seems to be working fine, but after some time domain users cannot access those shared folders at all or the server takes a very long time to react. W2k3 server has SP2 and all of the available updates applied. EventViewer does not show any error messages and there seems to be no problem with the server, because when you log on directly everything looks fine the system doesn't crash or smth. Afer restart of the server everything works again for several hours until the problem appears again. What could be causing this problem with shared folders?

Our office uses an exchange server that has no configured organizational forms library configured. Whenever any of our client machines selects "choose form", outlook will automatically try to open the Organizational Forms Library and repond with the error: "Form load failed. You don't have apporpriate permission to perform this operation", after which a drop down box will allow the user to switch to a different folder and find the forms to choose, relegating this to a nuisance. In any case, I'm looking for a way to change the default locatoin to look for "choose form" so this error message won't appear every time. Perhaps it's something blatantly obvious, but I haven't found it yet.

I have a problem when creating an email message in my Outlook 2003.
1. I create a “New Untitled Message”.

2. I ‘left click’ on the “TO:” option to search my Contacts for the name I want.

3.I get this error: “The address list could not be displayed. The Contacts folder associated with this address list could not be opened; it may have been moved or deleted, or you do not have permissions. For information on how to remove this folder from the Outlook Address Book, see Microsoft Outlook help.

4. If I click on the “OK” option, a “Select Names” drop-down menu opens with
“Contacts” in the show names from:

5. Using the down arrow \/ ,a list containing the following appears:
“Outlook Address Book”
“Contacts”
“Contacts”
“Personal Address Book”
The first item “Outlook Address Book”, shows “no entries in this address book.

The next, “Contacts” shows the error message in item 3 from above.
The next “Contacts” shows ALL my contacts, which is what I want.
The last, Pesrsonal Address Book, shows nothing.

I tried following the “help” for removing a contacts folder that isn’t desired, but since the name is the same, I can’t delete/remove the one that has nothing in it.
A point of info for you…I installed Outlook 2003 from my original CD,
I then opened Outlook, created a dummy contact, then deleted the OUTLOOK.pst file,
Then I imported (moved) my saved OUTLOOK.pst into the same location where the file belongs.

Outlook 2003sp2 with Exchange 2003sp2.

When I try to "Send on Behalf" an email in mailbox that I have the appropriate delegated permissions where the email was saved in the Drafts folder my credentials are in the "From" field once the recipient receives the message. Even though I add the mailbox owner's name in the "From" field before sending.

Any ideas? This only happens when a message is stored in the Drafts folder. And to the best of my knowledge I used to be able to send from Drafts without issue.

Did you try changing the from field to represent the mailbox you are trying to send on behalf of. Also on the Exchange server they can give you implicit rights which will make it not say sent on behalf of.

Me and my brother have recently both reinstalled windows vista home basic on our fairly new laptop computers, I went to access my brothers public folder by going to Network then \\ GAMES1-PC\Public (Already setting up no user account control, password sharing and public folder sharing enabled.) It wouldnt connect and asked if i wanted to diagnose the problem, I then tryed to access my OWN public folder by going to the public folder on the side and it accessed fine but when I tryed going through Network \\ GAMES2-PC\Public It wouldnt connect and asked if i wanted to diagnose.

My brothers computer has been doing the same thing and we really dont want to reinstall.

I installed a Western Digital MyBook Duo NAS storage drive. When I was having some problems I reinstalled the software and have ended up with two public drives referencing the MyBook, and they are :-
Public(\\MyBookLiveDuo) (X)
Public(\\MyBookLiveDuo) (Z)

There is no option to delete either of the drives if I right click on the drive in Windows Explorer, just a Disconnect option. I have not been able to work out how to delete one of them and retain the other.

Can anyone suggest how I might be able to delete one of these pointers to my MyBook?

Disconnect Network Drive. It is in the Tools Menu.

And if you have a problem in the future do NOT run the WD software again. Just use Win Explorer to MAP Network Drives.

Hi People,

Has anyone noticed that the folder icon for "Public Documents" is small, and can't be resized to extra large, or large like the other Public folder icons? I've noticed this on my two vista machines, and was wondering if anyone else noticed this? Or if I just stuffed something.

Ok I did systems restore and everything is almost normal, except this one thing is bugging me. When I go to documents, instead of just seeing my normal folders games, ea games, halo ce ect. I see Public Documents under it and I want to get rid of it. ALso there is a heading over My Documents that wasn't there before. Can anyone help?

Right click on the Library - e.g. Documents (in the left pane) > go to Properties. There you can delete it (highlight it and then "Remove" - do not forget Apply !!!).

Upgraded one of my PC's yesterday(7/29) from 7 Home Premium to 10. Now the other two PC"S in my home, both 8.1, cannot see the public folder of the 10 PC. 10 can see the 8.1 just fine.

Tried typing to users/public into the explorer address bar and got an 0x80004005 error

About a week ago I have to format my computer due to a nasty virus causing me to not be able to connect to the internet(scanned with a few programs, safe mode, nothing got rid of it). Everything works find now other then the fact that when I go to access my computer on the Work Network, It shows up blank. I can't drop anything into it, other people can view my computer on the network, but they can't drop any files either. All the sharing settings are on, no password is in place and I've been searching the web for the past two hours trying to find a solution and I have unfortunately come up blank. Any and all help will be greatly appreciated.

There are separate Advanced file sharing settings which refer specifically to the Public folders so that needs to be enabled.

Besides that you should make sure that you have enabled sharing for the Public folders by going to C:>Users>Public folder, and enable sharing through the Sharing tab. You should also make sure that the C:>Users folder is shared out through the Sharing tab as well.
